TagLink is designed with privacy and safeguarding in mind.
The system allows people to return lost items by sending a message to the item owner through a secure notification system. TagLink is intentionally designed to minimise the amount of personal data collected and stored.
This page explains what information is collected, how it is used, and how it is protected.
What information TagLink collects
When a TagLink tag is activated, the system collects:
• An email address
• A name (used only to personalise notifications)
• The TagLink activation code linked to the item
The name helps address the notification to the tag owner but is not required for the system to function. No other personal information is required.
TagLink does not collect:
• Phone numbers
• Home addresses
• Location data
• Device information
The email address is used only to notify the owner if a lost item is reported.
How the information is used
The information provided when activating a TagLink tag is used solely to enable the lost-and-found notification service.
If a finder scans a TagLink QR code and submits a return message:
The system receives the message through the return form
The message is sent to the email address associated with the tag
The email may include the name provided when the tag was activated so the notification can be addressed to the tag owner
TagLink does not use personal information for marketing or promotional communications.
How the data is processed
TagLink uses secure automation tools to deliver the notification service.
These services help route messages from the QR return form to the email address linked to the TagLink tag.
One of the tools used for this process is Zapier, a widely used automation platform.

Data hosting
TagLink uses reputable cloud service providers to operate the notification system.
Some services used by TagLink, including Zapier, host data on infrastructure operated by Amazon Web Services (AWS). These servers are located in the United States.
Zapier provides appropriate data protection safeguards and complies with applicable data protection regulations when processing personal data on behalf of customers.
Only the minimal information required to operate the lost-and-found notification service is processed through these systems.
Data retention
Email addresses linked to TagLink tags are stored only for the purpose of enabling lost-and-found notifications.
If a user wishes to remove their email address or deactivate their tag, they can contact TagLink and the data will be removed.
TagLink only retains the information necessary to operate the lost-and-found notification service and does not keep personal data for marketing or analytics purposes.
Legal basis
TagLink processes email addresses only for the purpose of delivering the lost-and-found notification service requested by the user.
Under UK GDPR this processing is carried out on the basis of Article 6(1)(b) – performance of a service requested by the user.
The email address is required in order to notify the owner if their item is found.
Data sharing
TagLink does not sell, rent, or share personal data with third parties.
The only time an email address is used is when the system sends a notification relating to a lost item.
Safeguarding and children
TagLink has been designed to avoid placing personal details on items.
The QR system allows communication to take place without displaying contact details such as phone numbers or email addresses on bags or belongings.
This approach helps protect privacy and is particularly suitable for environments such as schools, sports teams, and youth organisations.
Your rights
Under UK data protection law, you have the right to:

• request correction of your data
• request deletion of your data
